We’re Moving Our Booking System to Jane
Big news for everyone who books with us online: this month, we’re moving all of our online activity over to Jane.
If you’ve ever booked a massage with us, you’ve already used Jane without realizing it. It’s been a necessary part of our system at Flow Spa for years because of the functionality it gives our massage therapists, from charting to intake forms.
What never worked well was the integration between Jane and our booking platform on Float Helm. Behind the scenes, keeping both systems up to date has meant a lot of manual back and forth over the years.
Why We’re Making the Switch Now
We’ve watched Jane continue to improve their system, and it’s now reached the point where it makes sense to bring everything under one unified platform. So we’re letting the Helm sail into the sunset.
We believe this will make it easier to book many of our services, and we hope it quickly becomes your preferred way to book. It also helps that summer is a bit of a quieter time around the spa; we wanted a fresh, updated booking experience in place before we head into the busy fall and back-to-school season.
What’s New and Different for You
Here’s what you’ll notice when you book through Jane:
Booking multiple services in one day is easier. After selecting each appointment, use the Book More button to stack services on the same day. You’ll see them aligned nicely, and where the times don’t perfectly match up for going seamlessly from one service to the next, we’ll make sure it still works out for you.
Lining up multiple services for the same day, or different day, or for you and a guest has never been easier! The Book more button has really simplified the process.
Gift certificates work a bit differently. They’re now dollar-based rather than credit-based. This is technically how we’ve always treated gift cards behind the counter; the only change is that you’ll want to reference our pricing page to set the dollar value if you’re gifting a specific package or service.
Finding times with your preferred practitioner is much simpler. Jane starts with the practitioner view, so you can see exactly when your favourite therapist is available. We’ve also updated the buttons across our website so that clicking a specific appointment type takes you directly to booking it, no sorting through a menu or calendar first.
Accessing your appointments is easier too. You can link a Google email to sign in, and the Jane App lets you message us directly, view your upcoming appointments, and complete your intake forms right from your phone.
Sign in with Google to not have to save and remember another password. Jane is also popularly used across Canada for many wellness clinics.
Better reminders. Jane sends email and text reminders for your appointments, as well as app notifications if you download the Jane app, so it’s easier to keep track of your upcoming visits.
Direct billing details on your intake form. If you use insurance benefits for massage therapy, you can now add your direct billing information right on your intake form, which means less paperwork when you arrive.
What’s Happening to Your Existing Bookings and Balances
We know a system change can raise questions, so here’s what we’re taking care of behind the scenes:
Your account information is coming with you. We’re merging existing client data over to Jane, so you won’t be starting from scratch.
Packages and remaining balances are transferring. If you have a package or an outstanding balance with us, we’re moving it over to Jane so nothing is lost in the switch.
Future appointments are moving too. Any appointments already booked through Helm are being transferred over, so there’s nothing you need to rebook.
If anything looks off with your account, appointments, or balances after the switch, just reach out, and we’ll sort it out right away.
